1. Name
The name of the society shall be BUGS – Bath University Guides and Scouts.

2. Aims and Objectives of the Society.
  1. To provide a varied programme of activities for its members.
  2. To maintain relationships with the Scout and Guide movements locally.
  3. To render service as a society to Scouting, Guiding and the community.
  4. To create a wider understanding and appreciation of the work of the Scout and Guide movements, particularly among other students, by the spreading of information and by example.
  5. To be actively involved in the national Student Scout and Guide Organisation (SSAGO).


3. Membership
  1. Any member of Bath University Students’ Union (BUSU) shall be eligible to join.
  2. Associate members may join the society with permission of both the VP Activities and Development and the society’s Committee but may not vote in any election or stand for a Committee position.


4. Committee
    The Committee shall be responsible for the day to day running of the society, and shall meet at least once a term to plan the programme and discuss other matters arising.
  1. The Committee shall consist of a Chairperson, Treasurer, Secretary, Quartermaster and a SSAGO Representative.
  2. Each of these posts shall be held by only one member.
  3. The new Committee shall take over at Easter, with the old Committee holding advisory positions for the first two weeks of the new Committee holding office.
  4. There shall be two additional roles of Scout Representative and Guide Representative. These may be held by non-Committee members, or as an additional role by a Committee member, and are responsible for communication with local Scouts and Guides.
  5. All committee and representative roles will be given role descriptions.


5. Election of Committee
    Committee must be members of the society.
  1. Committee elections to be conducted by simple majority vote, either at the Annual General Meeting (AGM) or online through BathStudent.com.
  2. Committee members may resign by giving one week’s written notice to the Secretary, or in the case of the Secretary, to the Chairperson.
  3. Committee members may be expelled if they have acted in a manner prejudicial to the aims and objectives of the society or its reputation. Expulsion shall require a three fifths majority vote of the Committee.
  4. In the case of a vacancy on the Committee due to resignation or expulsion the position must be filled by democratic vote at an Extraordinary General Meeting (EGM) within three weeks.
  5. If elections are carried out at a General Meeting, they shall be chaired by an impartial, non-voting, non-standing Returning Officer and voting shall be by secret ballot.


6. General Meetings
    The Annual General Meeting (AGM) shall be held every year at the end of the Spring Term. The Secretary shall give two weeks written notice to all members.
  1. The General Meetings shall be chaired by the society’s Chairperson.
  2. Any members of BUSU are eligible to attend General Meetings.
  3. Extraordinary General Meetings may be called by the Committee or at the written request of not less than three members of the club, giving two weeks notice to the Secretary.
  4. The quorum for General Meetings shall be five members including three members of the Committee and two non-Committee members. Only full members of both BUSU and BUGS are eligible to vote in General Meetings.
  5. Decisions are made by a simple majority of votes. In the event of an equal number of votes being cast on either side in any issue the chairperson will have the deciding vote.


7. Committee Meetings
    Shall be held when deemed necessary by the Committee (at least once per Term).
  1. The quorum shall be three which must include the Chairperson.


8. Records
    The present list of Committee, members, equipment owned and membership fees shall be kept as society records. The Societies Executive shall be informed of any change to the aforementioned.
  1. There will be an up-to-date list of all current members recorded on BathStudent.com.


9. Finance
    Authority to spend society funds must be signed by either the society Treasurer or Chairperson.
  1. The Treasurer, in consultation with the Committee, shall determine the annual membership fee, which is not to be less than the minimum set by the Societies Executive of the Students Union.
  2. The Treasurer shall keep accurate records of the current state of the accounts.


10. Equipment
    The properties of the society are the property of the Union; any loss of equipment shall be immediately reported to the VP Activities and Development.
  1. The society Quartermaster has overall responsibility for all society equipment.
  2. There will be an equipment audit performed every year by the Quartermaster with assistance from members.


11. Constitutional Amendments
    All amendments must be ratified through a General Meeting.
  1. At least one week’s notice shall be given to all members of any proposed changes.
  2. A majority vote of two-thirds of quorum at a General Meeting shall be needed to adopt any changes.
  3. Changes to the aims or objectives of the society must also be approved by the Scout and Guide Associations locally.
